Wedding Planning Checklist

Everything you need to plan the big day. Tick off your tasks, then print the checklist or email yourself a copy to share with your partner and vendors.

Budget & Guest List

Set your total budget and decide who is contributing
Draft a rough guest list (it drives venue size and cost)
Send save-the-dates, especially for guests who need to travel
Send invitations with a clear RSVP date

Venue & Date

Choose your date and book ceremony and reception venues
Check venue curfew, noise limits and wet-weather options

Vendors

Book big-ticket vendors: photographer, videographer, celebrant, DJ
Book catering if your venue does not supply it
Book florist, hair & makeup, transport and extra entertainment
Book the cake and stationery
Organise a hair & makeup trial

Attire & Wedding Party

Choose your bridesmaids, groomsmen, flower girl / page boy
Order your dress (allow 6–9 months plus alterations)
Buy wedding rings (allow time for sizing or engraving)
Sort outfits for the groom and wedding party

Ceremony & Legal

Lodge your Notice of Intended Marriage (NOIM) with your celebrant – at least one month before the wedding
Plan the ceremony with your celebrant: vows, readings, order of entry

Accommodation & Honeymoon

Book accommodation for the couple and out-of-town guests
Book the honeymoon

1–2 months out

Chase RSVPs, confirm final numbers and finish the seating plan
Send your DJ the entrance songs, first dance, must-play and do-not-play lists
Choose your MC and confirm who is giving speeches
Write the family photo list for your photographer
Final dress fittings
Complete your runsheet and send it to every vendor

Final week

Confirm times and addresses with every vendor
Pay final balances; prepare envelopes for anyone paid on the day
Give rings to the ring holder and confirm your two witnesses (18+)
Pack an emergency kit: safety pins, sewing kit, painkillers, tissues, charger, snacks
Hold the ceremony rehearsal (if having one)

On the day

Hand vendor questions to your coordinator or a trusted friend
Eat breakfast and stay hydrated
Keep the buffers in your runsheet – things always run late

Most common slip-ups: hair & makeup running late, and the DJ and MC not having the order of events. A filled-in runsheet fixes both.
